Instructions for the demo:

Installation: Please insert the CDROM, and when you get to the screen below, select “Typical” on the PC that will record the time clock entries.

For additional networked computers to “read” the time clock data, run the installation CD-ROM, however, check the box that says “Compact” during the installation. This feature could be used for the manager to print reports from his desk computer, when the time clock PC collecting data is out in the shop.

For the manager to print reports from his PC, you need to use the network neighborhood icon on the office PC. You need to find the time clock PC on the network, find the program called “Printing Time Cards.exe”, and make a shortcut on your PC to run this file.

          Note: You may need to “share” a folder on the time clock PC. To do this, on the Time Clock PC, using Windows Explorer, find the folder called “Employee Time Cards”. Right mouse click on this folder, and select Share.

Running the software

  1. To start, you need to set up the program.
    1. Click on Start, programs, A-2 Technologies, then Printing Time Cards. 

    1. In the menu, Select Modify, Employees.

          The window above shows the list of your employees.

A.    To add a new employee, click on the + sign, and using the screen, just type in an ID number, and fill in their first and last names.

B.     To delete an employee (We recommend you never delete an employee), click on the employee name by highlighting the entire row by using the left mouse button, click on the far left row next to his name. The entire row should highlight in blue, then you can use the “-” icon on the screen, or you can use the “delete” key on your keyboard.

a.      We recommend you never delete an employee, because you may want to get a report for an employee that was terminated. If you delete the employee from this window, you will not know who the time belongs to on the report.

b.     We do recommend that when an employee is terminated, you change his last name to something like this “Osdale, terminated”

Modify Time Entries

The window below shows the database of collected times the employees have clocked in and out. You can get to this windows by selecting Modify Employees from the Printing time cards program.

 

 

You can modify the data as you need to, but in most cases, it is not necessary. If you do modify time or dates manually in this screen, make sure you put your name in the Supervisor column, to show on the report the time was modified or manually entered, and was not done by the employee.

Clocking in and out using the software

  1. The file called “Employee Time Clock.exe” is the file that is running on the PC that will collect the data from the employees. This is where the employees will either:
    1. Swipe a magnetic card
    2. Swipe a bar coded employee card through your bar code reader
    3. Type the employee number into the keyboard.

We recommend you purchase the magnetic card reader that uses a magnetic card, because any employee can “clock” their friends in by knowing their employee number, and entering it on the keyboard.

For demonstration on how to use this demo, leave the configuration screen com port number to zero, run the program (“Employee Time Clock.exe”), and enter 12345 or 45789 on the keyboard. This will record an employee entering or leaving. We have set up two employees in the database, and the ID numbers for these two employees are 12345 & 45789.

The way this software works is simple:

1.             The employee comes in, swipes his card, or types it into the keyboard. This logs the exact time he clocked in, or out.

2.             Also, we have added the ability to “round” the time to the nearest hour or to the nearest ¼ hour. To avoid an employee clocking in at 7:55 AM, and out at 4:02 PM, this might equate to 7 minutes of overtime (if your state pays overtime past 8 hours of work per day). You have the ability to set how many minutes will be rounded for clocking in or out.

a.      For example: You set the rounding time to 15 minutes for clocking in. If the employee clocks in between 7:45 & 8:00, the time recorded on the report will show the actual time he clocked in, and the rounded time (8:00 AM) that will be used to calculate the hours worked.

b.     Another example: You set the rounding time to 15 minutes for clocking out. If the employee clocks out between 4:00 & 4:15, the time recorded on the report will show the actual time he clocked in, and the rounded time (4:00) that will be used to calculate the hours worked.

 

Manual time clock entries

  1. The file called “Manual Time Clock.exe” is for a manager to enter in a “missing” time card entry. An example of this is when an employee forgets to clock in, or out. The only way a manager can “add” a time, is for the manager to enter his name on the screen. This name will show up on the report, thus showing the time entered on the report was a manual entry.

Configuring the software program

 The file called “Printing Time Cards.exe” is used for 5 management purposes:

    1. Printing reports of the hours worked.
    2. Modifying, adding, or deleting the employee names in the database.
    3. Modifying the data already in the database.
    4. Configuring the way you record time.

                                                              i.      Configuring to the nearest hour:

1.     If you choose to record to the nearest hour, and you set the check out time to 8, then:

a.      A swipe between 9:00 & 9:08 = 9:00

2.     If you choose to record to the nearest hour, and you set the check in time to 5, then:

a.      A swipe between 9:55 & 10:00 = 10:00

3.     If you choose to record to the nearest hour then:

a.      A swipe between 9:09 & 9:54 = 9:09 to 9:54 (whatever time they swipe a card) There would not be any rounding in this event, because they clocked in and out (outside your rounding) parameters.

                                                            ii.      Configuring to the quarter hour: Check the box “Nearest ¼ Hour”

1.     If you swipe a card between 9:00 & 9:07, your recorded time will be 9:00

2.     If you swipe a card between 9:08 & 9:15 your recorded time will be 9:15

3.     If you swipe a card between 9:16 & 9:23, your recorded time will be 9:15

4.     If you swipe a card between 9:24 & 9:30, your recorded time will be 9:30

5.     If you swipe a card between 9:31 & 9:37, your recorded time will be 9:30

6.     If you swipe a card between 9:38 & 9:44, your recorded time will be 9:45

7.     If you swipe a card between 9:45 & 9:52, your recorded time will be 9:45

8.     If you swipe a card between 9:53 & 10:00, your recorded time will be 10:00

    1. Configuring the way employees clock in or out:

                                                              i.      If you plan on using a magnetic card reader, you will need to configure the system as to what com port (on the PC)  the card reader is connected to.

                                                            ii.      If you plan to use a keyboard or wedge type bar code reader (no magnetic card swipe), you will need to enter a zero on card reader com port number.

 

Printing reports

When you want to print reports for your employees, you will use the screen below

 

You need to fill in the starting date and ending date for your report. Then, click on “Print Time Cards”. This will print all employees time cards (One page per employee)

The “Quick Fill Today” button fills in today’s date as the starting and ending date, to be used to see what your employees are dong today.

If you fill in the employee ID number box, then the report will only print the time card for that one particular employee.

Once the report is on the screen, click on the icon that looks like a printer  to send your report to print. Your Windows default printer will print your printed report.
